Google Meet Protocols

At SEC Marketing Group, our meetings aren’t just “talk”, our virtual meeting are strategic sessions that generate tasks, insights, and client directives. To ensure nothing is lost in translation and to keep our focus on the person speaking rather than scribbling notes, we have a standardized protocol for every internal and client interaction.

We use Google Meet, and we use it with a “Perfect Memory” mindset.


1. The Default Standard: Google Meet

Unless a client specifically requests a different platform (and provides a compelling reason), every meeting is a Google Meet by default.

  • Consistency is Key: By sticking to one platform, we eliminate the “Where is the link?” or “I don’t have that app installed” friction that eats into the first five minutes of a call.
  • Integrated Ecosystem: Google Meet integrates directly with our Google Workspace, making it the fastest way to invite teammates and sync with our “Source of Truth” (the Work Logs).

2. The Mandatory “AI Transcript” Rule

This is our non-negotiable standard. Every single meeting must have AI Transcripts turned on from the moment the first person joins.

Why we do this:

In a high-growth environment (scaling toward 50+ clients), “I forgot what they said” is a failure of the system.

We don’t rely on human memory; we rely on data.

How to Execute:

  1. Start the Transcript: As soon as the meeting begins, click the Activities icon (the shapes in the bottom right) and select Transcripts.
  2. Verify Recording/Transcribing: Ensure the “Transcribing” icon is visible in the top left of the screen.
  3. The “Post-Game” Sync: Once the meeting ends, the transcript is automatically saved to the meeting organizer’s Google Drive.

3. Benefits of the Protocol

For You: Active Listening

You are hired for your brain, not your typing speed. Because the AI is capturing every word, you can look the client in the eye, listen to their concerns, and engage in high-level strategy without worrying about missing a detail.

For the Team: The Searchable Archive

If a team member misses a meeting or needs to clarify a specific instruction from a client three weeks later, they don’t have to guess. They can open the transcript and search for keywords like “budget,” “keywords,” or “deadline.”

For the Work Log: Accuracy

After every call, the summary of that transcript must be distilled and added to the Client Work Log. The AI transcript ensures that the “Source of Truth” is 100% accurate, reflecting exactly what was promised or requested.


Meeting Etiquette & Best Practices

  • Camera On: We are a relationship-based business. Unless you are experiencing major bandwidth issues, cameras should remain on to build rapport.
  • Professional Backdrop: Ensure your environment reflects the “Extra Mile” standard we set at SEC Marketing Group.
  • The “3-Minute” Rule: Join the Meet 3 minutes early. This gives you time to test your mic, camera, and to ensure the Transcripts are ready to roll.

Pro-Tip: If the AI transcript generates a summary or a list of “Action Items,” review them immediately after the call. It takes two minutes to verify them now, but saves two hours of confusion later.
